Invisible systems powering MICE hospitality excellence at Marina Bay Sands

HSMAI Innovation Case Study – Marina Bay Sands

In the dynamic world of Meetings, Incentives, Conferences and Exhibitions (MICE), innovation is often associated with immersive event technology or striking venue design. Yet some of the most transformative advancements operate quietly behind the scenes — optimising workflows, building operational resilience, and enabling teams to focus on what matters most: delivering exceptional experiences at scale. By rethinking how everyday processes are designed, venues can create the conditions for teams to focus on strategy, creativity and service excellence – the true differentiators behind every exceptional event.

Since 2019, Marina Bay Sands has embedded intelligent automation across resort‑wide operations. Through the adoption of robotic process automation (RPA), more than 200 everyday workflows spanning administrative updates, reporting and transactional processes have been streamlined or fully automated, including those supporting large‑scale meetings and events at Marina Bay Sands Expo & Convention Centre.

At Asia’s leading meetings venue, RPA has targeted high‑volume, repetitive backend tasks that traditionally required significant manual effort across multiple systems. Working alongside Team Members, these software bots reduce manual data entry and administrative touchpoints, improve speed and consistency of execution, and minimise the risk of human error in data‑reliant workflows. Applications include automating event and booth catering bookings, exhibitor account set‑ups, sales activity logging across regional offices, financial reconciliations, and reporting snapshots that provide year‑on‑year comparisons to support quicker, more informed decision‑making.

Collectively, these improvements have delivered annual savings of over 2,080 personnel hours, while providing greater pricing accuracy and the confidence to secure complex, large-scale events without operational strain. They demonstrate a broader lesson for the events industry: productivity gains are often achieved incrementally by re-engineering “business‑as‑usual” processes, particularly in complex, fast‑moving environments where accuracy, speed and scale are critical.

This same philosophy of purposeful innovation extends to physical operations. In an industry‑first move last year, Marina Bay Sands adopted autonomous mobile robots (AMRs), typically deployed for supply chain deliveries in factories around the world, to optimise back‑of‑house deliveries across its hotel and Expo & Convention Centre. Prior to adoption, manual deliveries had surged to more than 200 across 80 routes daily, prompting a rethink of how routine yet essential tasks could be managed more sustainably.

Today, the AMRs operate across close to 70 pre‑programmed routes, each capable of transporting loads of up to 300 kilograms at speeds of up to 84 metres per minute. Safety laser scanners allow for intelligent wayfinding and obstacle detecting, enabling them to come to a halt in front of obstacles and safely navigate around objects in their path. The deployment has led to a reduction in labour dependency of up to 30 per cent, with Procurement and Supply Chain Team Members redeployed into higher‑value roles and upskilled in areas such as inventory management and AMR operations coordination. As the system matures, Marina Bay Sands is expanding towards round‑the‑clock operations, unlocking further efficiency gains across the resort.

For large, complex venues, the question is no longer whether to innovate, but how to do so in a way that meaningfully supports day-to-day performance. At Marina Bay Sands, innovation is a deliberate and human‑centred pursuit. Rather than replacing roles, technology is thoughtfully integrated to enhance productivity while elevating hospitality, enabling Team Members to spend more time on strategic thinking, creativity and building meaningful guest engagement – the hallmarks of the resort’s signature hospitality.
